Three new opportunities have become available for Compliance Systems Officers. Must know how to use V-lookups and have proven experience of using multiple databases, spread sheets and analysing large quantities of data. Will need to have knowledge and understanding of Mechanical & Electrical services in domestic installation and communal areas. Candidate must have working knowledge of asset management IT systems (e.g. Promaster etc). Candidate need to have experience of working within the social housing sector and experience in a compliance/data monitoring and reporting.

Job role:

Provide pro-active and efficient support to the Operational Compliance Management Team

Provide analysis and review of data and tasks associated with performance based activities relating to your areas of responsibility.

Identify, recommend and/or take appropriate action as and when necessary to escalate or resolve the actual or potential non-compliance situations.

Ensure comprehensive and up to date information on all compliance risk responsibilities as allocated to you by the Compliance Manager

Lead on data validation and system reconciliation processes

Develop and implement end to end processes and procedures that reflect statutory and regulatory requirements and best practice as directed by the Compliance Manager.

Proactively seek to identify and escalate issues preventing or likely to prevent compliance together with suitable action/solutions, including reconciliation between proposed servicing and inspection programmes and compliance targets.

Support the operational delivery teams in the programming of inspection and servicing programmes through profiling of compliance target dates.

Work with operational delivery teams to monitor Operational Compliance and ensure requirements are met

Act as a point of contact for Contractors and Consultants to ensure optimum data transfer, evidence and record keeping; providing regular feedback and updates to Management.

Liaise with other stakeholders, including Responsive Repairs, Planned Works, specialist housing and Neighbourhood Management to ensure co-ordination and evidencing of completed remedial actions as appropriate.

Undertake regular CPD (Continuing Personal Development) in accordance with relevant regulatory and statutory requirements.

Provide accurate, up to date and concise information for internal and external audits as and when required.

Work on or contribute to, special projects and tasks e.g. service reviews/improvement plans etc. as required.

Assist in the implementation of software systems for monitoring and/or supporting service delivery and ensure they are properly maintained and fit for purpose.

Complete thorough user acceptance testing of new software systems on behalf of the business.

Work closely with the IT teams to ensure the integrity of the systems to deliver the necessary retention and reporting of information.

Assist in the production of robust processes and procedures to enhance data use and management.

Maintain all service and compliance data records using excel and other Microsoft products as required/instructed.

Assist the Compliance Manager in verifying that all properties managed are serviced according to legislative requirements, incorporating best practice.

Produce information for key performance measures and management information that supports our reporting requirements and can be relied upon by senior management, board, procurement and to facilitate the provision of service charge costs etc.

Test system reports for accuracy, and use reports to reconcile data quality.

Assist in monitoring resident communication and ensure timely responses.

To be competent and knowledgeable in all aspects of compliance relative to your work and thereby, enable completion of related priorities.

Provide information to the operational delivery teams for the purpose of reports and correspondence.

To comply with the company's Equality and Diversity Policy and all associated legislation.

Support and contribute towards the '2020' green agenda project

Maintain suitable standards in relation to Health & Safety, work within the Company's Health and Safety Management System and follow all appropriate and relevant good practice guides and legislation.

The person will be cooperating with contractors and consultants to ensure optimum data transfer, evidence and record keeping. They will liaise with other stakeholders, including Responsive Repairs, Planned Works, specialist housing and Neighbourhood Management to ensure co-ordination and evidencing of completed remedial actions as appropriate. They will manage compliance figures, liaise with Property Service Team, processing certificates, uploading data to the system and comparing reports.
