Our client in the heart of Cardiff are looking to recruit a Corporate Hire Executive to join their busy Venue Hire Department.

You will provide first point contact for venue hire email and telephone enquiries throughout the company. To take lead in the reservation and administration of all private hire bookings and ensure effective and efficient back of house systems are in place. You will also be required to occasionally support in the delivery of private events.

* Contract: Temp - Perm (The role will begin as a temporary contract but for the right candidate there will potentially be a permanent opportunity)
* Salary: £10.43 per hour
* Hours: 35 Hours per week

Responsibilities:

* Respond to telephone, written and face to face enquiries regarding hiring facilities and rooms
* Maintain an enquiry log, conduct follow-up correspondence and prepare enquiry reports
* Ensure accurate inputting of bookings into the diary management and finance systems
* Raise invoices and purchase orders and maintain accurate client, finance and administration files
* Arrange and undertake venue hire tours with prospective clients and conduct client follow-ups
* Liaise with catering franchise holder to convert enquiries, upsell and take proactive approach to the sale of hireable spaces to a wide range of existing and new clients
* Ensure events are planned effectively and obtain necessary risk assessments and insurance
* Maintain and update bank of suitable images and client testimonials to use for publicity
* Process payments for new sales and confirmed bookings
* Use social media to proactively promote and raise awareness of venue hire opportunities
* Update venue profiles, imagery and special promotions on agency and listing sites
* Attend and represent the venue at wedding fayres, corporate shows and networking events to increase awareness and promote awareness and sale of venue hire offer
* Act as event coordinator and oversee daytime and evening functions during peak periods and in the absence of the site-based Venue Hire Officers
* Ensure venue hire income targets, income generation opportunities and control costs will be met or exceeded wherever possible

Essential Attributes:

* Working knowledge of office systems and administration
* Experience of working in a similar role in administration, sales or events environment
* Experience gained in a busy office environment, dealing with public and staff
* Experience of delivering events, and dealing confidently with clients at all levels
* Experience of budget and financial admin
* Some experience of maintaining and monitoring records of income and expenditure
* Experience of processing orders, invoices and payments
* Excellent general administrative skills and the ability to follow procedures and guidelines
* Excellent interpersonal and communication skills, both written and oral
* Excellent organisational skills including the ability to prioritise workloads and multi-task
* A high degree of computer literacy with knowledge of Excel and database applications
* A confident user of internet, email and social media
* Collaborative approach to team working as well as an ability to work on own initiative
