The Credit Management Team is responsible for the timely collection of all fees and any other related debt and for all invoices issued to customers for the organisation and its subsidiaries.

This role is also responsible for the prompt production of Sales Invoicing for the Income, ensuring a high level of accuracy at all times with regard to value, VAT and coding. The role is required to be extremely customer focused and provide a high level of customer support to students, staff and external customers. The role requires the individual to use their initiative and pro-activeness to achieve targeted results, while promoting goodwill.


The Finance Department is one of the central administrative support departments of the organisation. The role of the Finance Department is to provide a comprehensive range of financial services which include all operational duties, a purchasing office, budgeting, forecasting, management accounts, preparation of the final accounts of the organisation and proactive financial support and added value to all other departments, staff and customers.

Main Duties

1.Daily review and collection of all aged debt to ensure positive cash flow position, to enable the organisation to make best use of its resources by planning, prioritising and organising work to achieve agreed objectives.

2.To ensure that all invoice and credit note requests are raised accurately and promptly in relation to assigned area of responsibility.

3.To ensure all debts due for collection are profiled in accordance with the Debt Collection Policy on a timely and accurate basis to allow the Principal Accountant to accurately produce and reconcile the departments cash flow.

4.To communicate with debtors on an individual basis regarding non-payment and queries on unpaid debt. Information needs to be conveyed clearly and accurately to enable the recipient to fully understand the situation (either verbally or in written format). These include customers, which will require tact and sensitivity, external customers and the Company.

5.The administration of regular payments by direct debit and credit card. This includes keeping accurate and up to date records of all details to ensure the initial set-up is correct. Once set up, collection of debt in accordance with the University policies and the AUDDIS banking procedures. A high level of accuracy is key at all times to ensure the timeliness and amount of monies due to the organisation for each collection.

6.Devise and maintain all appropriate spread sheets with regard to payments made via WorldPay, Direct Debit etc.

7.To liaise directly with other departments to facilitate prompt collection or agree appropriate actions required to ensure debt is collected.

8.To maintain robust communication channels and strong working relationships with other departments.

9.Liaise with line manager with regard to debt which is no longer economically viable to collect by the department and highlight risk and potential legal action.

10.Have an awareness of the principles of basic contractual law and consumer legal enforcement actions and collection of debt guidelines.

11.Highly effective negotiation skills required to develop relationships with customers to ensure payments are received for services provided. To agree independently personal payment plans to ensure debt is collected in the most effective manner with approval from direct manager if outside of Debt Policy.

12.To cover as part of the Duty Finance Advisor team at Firstpoint, dealing directly with students, some encountering financial hardship, this is via a weekly appointment system. To provide support and guidance to individual customers as required and appropriately referring to specialist advisors where necessary.

13.Respond to enquiries made in person, by phone, by email or in writing, directly with the enquirer and in a professional and timely a manner and in accordance with the data protection act.

14.Be able to produce reports from the financial information system using the appropriate tools and analyse on debt profiles assigned to them in order to report to higher management. To effectively prioritise the debt collection process under their control.

15.To liaise with the Purchase Ledger / Treasury Team Leader as and when required ensuring tasks are completed on a timely basis.

16.Participate in appropriate staff development events.

17.To participate positively to the objectives of the Credit Management Team and wider Finance Department.
