My client is an award winning alternative asset management company.

2. Purpose and Scope

The Receptionist will provide a safe, positive working environment in each office, appropriate to organisational needs, visitors and employees.
The post holder will have oversight of the visitor reception areas at the London offices, and all the meeting rooms, ensuring they are fit for purpose at all times and that the booking system for meeting rooms is maintained and functional.
The main purpose of this role is to meet and greet guests ensuring a five star service is provided at all times.
To assist with the management of the buildings, including facilities.
3. Key Accountabilities and Role Outputs

Responsibilities will be expected to be developed and finalised over time and will include but will not be restricted to:
Reception duties
• Greet all visitors and provide refreshments for meetings (including ordering lunches)
• Operating switchboard at all times from the hours of 8.30 – 18.00pm
• Ensure the professional appearance of the reception area
• Responsible for ordering couriers, reprographic services, booking taxis
• Monitoring the electronic door system
• Checking and signing for deliveries
• Responsible for all incoming and outgoing post (internal and external
• Log invoices and relevant information i.e. taxi, couriers.
• Responsible for stationery, ensuring stock is checked regularly and ordered when required and the stationery is neat, clean and tidy.
• Ordering/ setting up breakfasts, lunches and booking restaurants when requested.
• To be responsible for the meeting room booking system.

Facilities management
• Ensure there are regular checks on the toilets; checking the toilets for toilet roll, hand soaps, moisturisers and hand towels. Making sure the showers are fully stocked with toiletries.
• Make regular checks of the light bulbs/ wall lights, ensuring they are in working order.
• Make sure the gym is kept tidy and stocked with water and towels at all times.
• Ensure the fridge is stocked.
• Making sure the confidential waste is collected by Shred- It.
Ad hoc duties
• Assisting the Executive Assistant as and when required.
• Assist with binding, board packs and presentation packs as necessary.
• Helping with any queries as and when required.

1. Person Specification - Skills, Knowledge and Experience

Essential Desirable
Qualifications • Min 5 GCSE at grades A-C including Maths & English at A or B • Educated to Degree level
Experience • At least two years’ experience working in a front of house environment
• Competent levels of IT skills • Experience of working in the financial sector
