My client is a unique and stylish research facility located in the heart of the city. They manage a number of venues, offering high end market research facility space and they provide national market research. My client has an undisputed reputation within their industry and are rated as one of the top viewing venue facilities across the UK.

Purpose of the role
The Venue Manager will be responsible for overseeing and managing hands the venue as well as taking the lead in growing and developing the business in line with the business plan. The Venue Manager will be responsible for advising clients with room availability, ensuring the venue runs efficiently, manage the department and staff, fulfil all specifications and budgetary requirements.

Tasks and Responsibilities:

Department Management

- The Venue Manager is responsible for the costing, set up and development of all things Venue related and generated through the facility. It is the responsibility of the Venue Manager to ensure all events are prepared and staffs are allocated to the set up and event, monitoring and following up with client post event to ensure client satisfaction, while protecting the company profit margin.
- Overall responsibility for the Venue procedures and guidelines process and its development as an expanding arm of the business.
- Project costing and planning, including monitoring general quotations sent by staff and monitoring changes to rates and the rate card.
- Monitoring results and following up clients for the outcome of a quote provided for Venue services.
- Setting up all marketing campaigns, including the preparation of business development schedules and follow ups.
- Responsible for ensuring the bookings are achievable and performed to a standard that ensures the retention of clients and customer satisfaction.
- Conducting and analysing all equipment and feasibility of future technology updates and equipment, hardware and software.
- Conducting regular checks of the diary and ensuring processes are followed through each day and to establish and monitor requirements and daily priorities.
- Taking a pro-active role and report back to the Operations Director of any discrepancies or issues that may affect the Venues or jeopardise the Venues profit margin.
- Monitoring and proposing changes to costing templates.
- Monitoring supplier relationships and conducting reviews on an annual basis with an analysis on spend.
- Analyse yearly review of all clients and figures for the Venue.
- Business development, and development and maintenance of client relationships.

Accounts and Invoicing

- Ensuring all bookings are completed and all relevant details are recorded and accounted for appropriately.
- Ensuring clients are happy with Venue service, confirming all events details are logged by the Venue Assistants and the event ran to the client`s specifications,
- Track and chase supplier invoices to ensure timely invoicing of client and that supplier costs have not changed. Accurately review and authorise supplier invoice,
- Ensure that finance deadlines are met.
- Ensure all invoicing and project costs are accurately recorded on the budget sheets.

Managing the Venue

- General day to day management of the Venue, overseeing client relationships and ensuring that the viewing facility is a positive client focused environment.
- Responsible for ensuring all bookings are managed: from bookings through to confirmation.
- Initial weekly meetings with the Operations Director and Venue Co-ordinators to discuss bookings, booking requirements and staff allocations.
- Responsible for all invoicing for room hire and miscellaneous costs.
- Ensuring all invoices and costs are accurately recorded on the database.

Staff Management

- The Venue Manager is responsible for co-ordinating and monitoring any management duties where assigning tasks to other staff members.
- Responsible for training, monitoring and mentoring other staff members involved in Venue tasks.
- Responsible for timely, accurate and professional communications to Finance, Incentives, Human Resources, and other cross company departments as required.
- Ensuring that the staff hours are fairly distributed and approval payroll related tasks and queries.

Venue Manager Person Specification;

- Ideal candidates will have previous business development experience ideally within a venue/ business centre/ market research viewing centre
- Must have excellent managerial experience capable of leading and motivating a team
- Excellent communication & organisational skills
- Must be willing to be flexible on working hours depending on clients needs and events etc.
