Aspire People are looking for a Finance Officer to work in one of our schools' in Coventry.

Description of main duties and responsibilities:

1. Using the school's computerised systems School's Information Management System (SIMS), Microsoft Word, Excel or manual systems as appropriate to assist with daily school financial procedures.

2. Assist with the maintenance of up-to-date files and records of approved suppliers and contractors so that an efficient service can be provided to staff wishing to place orders, ensuring that value for money is obtained, and acknowledging security requirements.

3. Raise orders via SIMS, check and enter deliveries, check and enter invoices for payment within the required deadlines, follow through any queries with appropriate internal or external departments/suppliers

4. Raise invoices and ensure prompt payment in respect of additional school services provided (e.g. music tuition, sixth form consortia, lettings), chasing payments where necessary.

5. Chase orders and invoice payments when appropriate to allow end of financial year procedures to run smoothly and efficiently. Chase orders and invoices on a monthly basis. Chase debts from parent pay and loans as required.

6. Assist the Finance Officer with the efficient management of Petty Cash.

7. Under the supervision of the Finance Officer and School Business Manager to ensure adequate financial and security controls are maintained for all school bank accounts and for cash held in school. Update records on a weekly basis.

8. To assist with the weekly banking, weekly preparation of income and expenditure statements and prompt entry of information into the computer.

9. Receive income in respect of instrumental music tuition, Educational Visits (school trips), vending machines, general sales, school uniform sales, etc., and ensure it is properly receipted and banked in accordance with audit requirements.

10. Issue, receive, monitor and maintain accurate records in respect of car mileage claims, ensuring that forms are completed promptly, that relevant guidelines are followed.

11. Provide cover for the reception and switchboard on a daily basis as required, to ensure an efficient service is provided to school staff, students and visitors to the school. To answer reception office incoming telephone calls as a member of the reception team.

12. Assist with the distribution and collection of post.

13. As and when required - To undertake duties as a support staff invigilator during school examinations. To act as a reader / writer for SEN students during school examinations (training will be provided)

14. Provide supervisory support cover in the school dining hall as and when required at break time, and to operate a cashless till daily during lunchtime.

Must have the following knowledge:
Administration of computer systems - for purpose of schools finance system
Finance Officer Experience - AAT or similar ideally
Office procedures and practices, including use of office equipment, such as telephone, photocopiers and computers
Different ICT systems/packages, including Excel
Financial and budgetary procedures
Reasons for Disclosure and Barring Services checks for supply staff

Skills and Abilities Required are:
Ability to prioritise own workload with minimal supervision & be self motivating.
Ability to liaise with colleagues, suppliers and visitors to the school effectively with a high level of interpersonal skills
To be ICT literate, preferably in SIM's or other finance packages (Training on FMS finance package will be given)
To learn new working practices as required for this post
To form effective working relationships with staff at all levels
Handle several different tasks at one time, to cope with interruptions and still remain calm under pressure.
Ability to work to defined guideline and procedures.
To maintain accurate records
To review procedures and introduce new ways of working
In cash handling
To liaise with external agencies and organisations in a professional manner to obtain best supplies of good and services
To work as part of a team and to cover for colleagues as required
To undertake future training and professional development
To communicate effectively with students and parents
To prepare and type correspondence, reports and spread sheets.

Experience in the following is required:
Office administration
SIMS computer systems (desirable but not essential)
Microsoft packages especially excel
Ordering goods and supplies
Working to timescales & deadlines
