My Client….

Is an award-winning business intelligence company providing independent intelligence, professional development and peer to peer networking via their award winning online informationresource, events and training. Due to continued expansion a role has arisen for an Events Coordinator with 2-3 years + experience.

Responsibilities include:

Working with Event Manager and Head of Operations to execute events globally, the candidate will report to the Head of Operations and be responsible for organising the largest event & award ceremonies based in Asia & the US. Other events that you will be responsible for will include a number of small to medium sized conferences, logistics for learning and development programmes and supporting the Event Manager on other worldwide conferences.

Other Duties Include:

Delegate management - Managing all delegate communications, attendance, badging and registration for assigned events. Maintain event materials inventory.

Print, design and digital - Producing the printed guides and event app for each of the assigned events. Includes all portable signage, banners and backdrops.

Budget management - Recording all spend within remit, working with the EM on spend targets. Managing budgets for owned events.

Audio visual - Concept and application of staging and screen content. Checking speaker presentations and ensuring quality execution. Devising concept and design for awards ceremonies, booking entertainment and hosts.

Creativity - Script writing, stage design, entertainment and hospitality for awards events.

Logistics - Couriers, travel planning, accommodation, hotel negotiations

Venues - Finding, contract negotiations, liaison and BEO

Sponsor fulfilment - Meeting all sponsor expectations, delivery of contract & managing exhibitions

On site - Working with the EM or on owned events. Manage all staff, suppliers and delegates on site, responsible for the customer experience and health & safety.

Desired Skills and Experience

Experience

Minimum 2 years’ experience managing awards and conferences or other B2B events

Highly organised and able to deal with multiple tasks across multiple projects simultaneously. Great time management is essential.

Skills

Negotiation skills are essential to drive the highest value at the best price from suppliers.

Interpersonal skills, a people person able to manage the expectations of multiple and very different stakeholders. Measured and mature communication skills.

Common sense approach to difficult situations, providing solutions to problems rather than focusing on the negatives.
