The Assistant Secretarial Support Manager (ASSM) is a key role within the new framework and will have primary responsibility for the day to day management of secretaries in London. This is in addition to the provision of a first-class level of PA support to a defined number of Partners within the Practice Group.

Reporting directly to the Secretarial Services Manager your responsibilities as Assistant Secretarial Support Manager will include:

  • Management of all secretarial staff (PAs, Team Secretaries, Junior Secretaries and Administrators) within the Practice Group on a day to day basis
  • Responsibility for day to day workflow requirements, ensuring that sufficient secretarial resource is available and utilising other resources (in other offices, where necessary)
  • Acting as the key contact for all secretarial staff on a day to day basis
  • Arranging secretarial cover for all absences
  • Managing absence requests for department (including fee earners)
  • Managing sickness reporting including self-certification forms
  • Coordinating and delegating secretarial work to the secretarial team and ensuring an even distribution of work across the secretarial function, particularly the Team Secretaries and Administrators
  • Monitoring workloads within the secretarial population to ensure priorities are met to suit changing business needs
  • PeopleSoft - recording of all data (holiday/sickness/fee earner allocation/flex holidays etc)
  • Managing trainees and new joiners including allocating buddies, arranging seating and ensuring workstations are ready, provide induction support for all new joiners to your team and production of a team information pack outlining relevant information
  • Managing email groups/leavers and joiners
  • Tracking sabbaticals and secondments within the fee-earner population
  • Coordinating and maintaining the team floor plan
  • Spot-checking/quality checking work being produced to ensure consistency and adherence to the firm's standards
  • Regular weekly meeting with the Secretarial Support Manager

Assistant Secretarial Support Manager (ASSM) Candidate Profile:

  • Proven supervisory experience of at least 2 years' duration
  • Supervisory courses such as diplomas, NVQs or courses attended during previous employment
  • Experience within a professional services environment is essential, ideally within a law firm
  • Must demonstrate a clear ability to lead a team and command respect; lead by example
