Studio Coordinator / Administrator

Location: LONDON, United Kingdom

Salary: £24,500 to £28,000 per annum

Russell Sage Studio is a leading interior design practice, working exclusively in the field of commercial and hospitality design, with projects in the UK, Europe and further afield.

The company has an exciting opportunity to join their team of 35 as a Studio Coordinator / Administrator, acting as the lynchpin in how they work. Ensuring the Studio runs efficiently, all teams are coordinated, diaries are managed, projects are following program and resources utilised.

The successful candidate will need to have the following skills, experience and abilities:

  • Knowledge and experience in coordinating an organisation’s resources against the cost of a project, with the ability to liaise and regularly report the progress to other senior staff and Clients.
  • Assess resource requirements; ensure correct staffing levels are in place and liaise with the Studio Manager on recruitment of freelance and bank staff
  • Experience with scheduling projects using online project management system
  • Experience in liaising with a Senior team to coordinate projects and keep clear lines of communication open between Clients and the Design Team
  • Experience in managing internal and project budgets, with the ability to prepare and review operational and financial reports
  • Experience with cost negotiation, coordinating deliveries, travel and logistic management
  • Experience in establishing a brief with Clients and agreeing what can be achieved in the given timescale to ensure the project runs on time and to company standards
  • Experience in analysing internal company processes and systems, with the ability to implement procedural and policy changes to improve project workflow
  • Experience in project and studio administration tasks that require internal and external client interface
  • Experience in liaising with a Senior team to coordinate projects and keep clear lines of communication open between Clients and the Design Team
  • Experience in assigning and delegating task and duties, with the ability to coordinate the resourcing and workloads of others.
  • Experience handling new business enquires and building Client and Supplier relations

The successful candidate will also need to have the following Personal Specification

  • Must hold a Level 4 education qualification or higher
  • Must have proven postgraduate experience, working / dealing with related organisations
  • Must be confidant using Apple hardware, Adobe Packages, Microsoft Office (especially Excel) proficiently.
  • Must have Excellent verbal and written business communication skills in both verbal and written English
  • Excellent organisation skills and attention to detail
  • Self-motivated and positive, with the ability to work well under pressure
  • Able to work independently with minimal guidance and a motivated self-starter, whilst supporting and fitting in to a wider team
  • Ability to effectively problem solve, both individually and as part of a project team
  • Ability to work on multiple assignments simultaneously
  • An understanding and knowledge of the latest trends and industry guidelines
  • Must be willing and able to travel overseas as and when required
